You have your mobile app all set for your event – now what? We have developed this guide to help you make the most of your investment. It’s actually quite simple to get your attendees on board and excited about downloading a mobile app. There are three considerations we have outlined for you: a timeline on when to release the data, integrating the mobile event app into your marketing plan, and encouraging use at the event.
You have spent the last 10+ months planning this event. However, to your attendees there is timeliness to the event. The relevancy of your event on their calendar doesn’t happen until about 3-4 weeks out from the event date. Aside from making travel arrangements, most attendees haven’t really thought about the conference until this point. They are busy professionals working on tight deadlines. This is the optimal time to get in front of them and begin encouraging access to the mobile event app. It also is a great safety net for you – ensure that all your data, speaker information, and sponsors are firmly locked in.
Marketing your mobile event app is fairly easy. Most attendees today expect an app associated with an event so receiving the details won’t be too surprising for them. You begin with a link to both Google Play & iTunes and instruction on how to download the app from your event website. This way, all attendees and sponsors visiting your site in the weeks before an event are reminded to get the app. Four weeks before the event date, you should begin to integrate the mobile app information into all email communications. These don’t have to be limited to e-blasts; also consider including a link in your email signature for all staff corresponding with attendees. It gives a nice reminder for everyone to get on board. Social media is another great communication channel to get your attendees to download the app – also take advantage of a hashtag integration at this point to increase the buzz.
At the event
If you follow this plan, most attendees will have downloaded the app and played with it by the time the event rolls around. There will always be a handful of folks that simply didn’t have the time to download in advance. The most useful reminders you can use are signage & postcards kept at the registration desk. A simple 8.5”x11” framed print can provide download instructions to ensure everyone is on the mobile event app at the conference. The postcards can serve for those that want to head to their room or download it after check in.
